ASTAL ROLES & RESPONSIBILITIES

Executive Committee
The Executive Committee will...
  • Coordinate and oversee all ASTAL activities
  • Periodically review ASTAL’s organizational standing in terms of long-term planning
  • Conceptualize new ideas and directions for the organization
  • Direct the General Committee

    ASTAL Chair

  • Liaison with Rhode Island College
  • Coordinates all presentations made in association with college
  • Initiates and maintains contact with authors/professionals (for conferences)
  • Coordinates travel and handling of and serves as escort to authors/professionals
  • Oversees Executive and General Committees

    Assistant Chair

  • Schedules, coordinates, and conducts meetings
  • Directs and oversees Executive and General Committees
  • Responsible for ongoing maintenance of organization
  • Creates and organizes mailing of all ASTAL documents
  • Delegates organizational responsibilities to Executive Committee

    Scheduling Coordinator

  • Contacts college to make arrangements for an event (rooms, a/v, food, campus signage, etc.)
  • Initiates and maintains contact with bookseller to assure attendance and to secure appropriate inventory for event
  • Develops and secures participant awards and/or gifts
  • Arranges and packages raffle materials
  • Selects and chairs Scheduling sub-committee

    Media/Technology Coordinator

  • Serves as coordinator/emcee of events
  • Assists in recording of author appearances and maintenance of media library
  • Arranges for the design and maintenance of ASTAL promotional displays on Rhode Island College campus

    Program Coordinator

  • Organizes and moderates panel discussions
  • Organizes and coordinates event workshop proposals
  • Selects and chairs Workshop sub-committee (which will evaluate and select workshops)
  • Selects and chairs Awards sub-committee (which will determine recipients of all awards/grants)

    Finance Coordinator

  • Develops and maintains a working budget
  • Creates a financial report and presents to committee quarterly
  • Allocates funds for events and reimbursements

    Public Relations Coordinator

  • Responsible for press releases (contacting both on-campus and general media outlets)
  • Creates and maintains a periodic ASTAL newsletter
  • Selects and chairs Public Relations sub-committee

    Advisor to the Chair

  • Consults with chair on all aspects of ASTAL business

    The General Committee will...
  • Serve as a resource to the executive committee
  • Serve as members of various sub-committees

    Event Registration Coordinator

  • Creates and maintains an organizational system to record registrant data
  • Organizes and prepares participant folders/packets
  • Collects conference evaluation forms
  • Distributes professional development forms

    Event Professional Development Coordinator

  • Secures RI Dept. of Ed. approval and documentation for professional development hours (CEU’s)
