Budget Modifications And Extensions
Making a change? It is not uncommon to find that, sometimes, we need more or less money or time than originally intended. If you find that your distribution of awarded funds, timeframe or total award is not exactly what you need, then a modification or extension may be in order. But first...
Sponsor Rules First
Budget modifications, extensions or supplements must be allowable or approved by the sponsor before ORGA can enact a change. Typically, budget modifications are allowable up to a certain percentage (usually 10%) of the total award amount without an explicit need for sponsor approval, especially for Federal grants. However, ORGA must still receive a request to modify the budget whether it will require written sponsor approval or not. We advise you check the terms and conditions of your award to determine if a budget modification is allowable, and for how much. Sponsors often do not easily allow more than a 10% shift in funds because such a marked shift implies a change in the scope of work on the project.
The Budget Modification Request Form is an official request form, sent to ORGA, that outlines a desired change in the distribution of funds for a sponsored program.
So how do I change my budget?
Please submit the budget modification form above to the Office of Research and Grants Administration, Roberts 305, and we'll take it from there. We will notify you if your requested modification is allowable, not allowable or requires a written sponsor approval to enact.
What about extensions and supplements?
There are two types of extensions in the world of grants: cost extensions and no-cost extensions. Cost extensions are an increase in the length of the grant term
(What is a "grant term"?) and overall size of the budget, and always require ORGA and sponsor approval. Depending on your type of award, one year no-cost extensions (an extension of the grant term using the original award buget) can sometimes be realized without prior sponsor approval. Please
contact ORGA if you are unsure. Supplements are additions to the budget with no change to the duration of the grant term. They are most commonly treated separately from the original proposal as they imply a change in scope of work, and must be approved by ORGA and submitted from ORGA to the sponsor.
