This guide is for the convenience of your student organization and should be shared with all members of your group so that they can also be aware of information pertaining to your office space. Suggestions relating to this guide or office related questions/concerns are welcome. Also, please remember to update the Student Union department as contact information changes to assist with clear communication.
Office Space
For terms of usage, refer to the Usage Agreement that your student organization signed for the academic year. Any problems or requests should be directed to:

Student Union Hours
During the fall and spring semester, the regular Student Union Hours of Operation are:
M-TH 7AM-12AM
F 7AM-10:30PM
SA 4PM-10:30PM
SU 4PM-10:30PM
Break hours are normally Monday – Friday, 8:30 - 4:30; Summer hours are 8:00am – 4:00pm.
During school vacation breaks your mail and keys will be available in the Student Union Office, Student Union #408.
Office Keys and ID Access
Organizational presidents of all groups should complete a Member Access form (available at Campus Card and Student Union offices) with a list of student members, along with their student ID numbers, who are permitted access to the office. This form should be submitted to the Campus Card office. The Member Access form will be kept on record and can be updated by the organizational president, upon request.
Access to the offices in the Student Union will only be allowed during normal Student Union operation hours.

Heating and Air Conditioning
To maximize the full potential of the heating and air conditioning system, please keep windows closed at all times. To adjust the regulation of the thermostat, please contact:

Telephone
The telephone is for the use of all organization occupants for on campus, business related calls only. Arrangements for off campus and long distance calls can be made with the telephone office by dialing 0.
To get a telephone, answer questions about voicemail and to set up an account for long distance calls, contact:

Mailboxes for all organizations with Institutional Recognition are located in the Welcome and Information Center, Student Union, Second Floor Lobby.

Recycling
To assist in preserving the resources of the earth, your efforts to participate in the college’s recycling efforts is encouraged and appreciated. Large bins for the Student Union are located outside of the Student Union department, Room 408. The list of items to be placed in the green recycle bins can be viewed at http://www.ric.edu/facilitiesOperations/recycling.php. Empty bottles and cans can be placed in the blue bins.
Trash Removal
A trash dumpster is located near the loading dock outside of the Café. Student groups are encouraged to care for the removal of their own trash. However, any assistance that is needed can be requested through Mark M. Paolucci in the Student Union department.

Cafeteria Trays
Trays borrowed from Donovan Dining Center are property of the dining center and should be appropriately returned after use.
Email Updates
Important updates from Physical Plant and college administration about planned power-outages and other known interruptions to the functioning of your office space will be sent to the President of your organization at the email address provided to us on the Usage Agreement. If you would like other members of your organization to receive these updates, please provide the appropriate email address to:
