Committee Responsibilities

Types of Lectures Supported

The Committee of College Lectures funds many types of lectures be them course specific, departmental, or college-wide.

All lectures funded by the Committee on College Lectures must be free, open to the public, and conducted on the Rhode Island College campus.

It is the policy of the committee to not fund any lectures named in honor or memorial. The committee will not fund any lectures when the speaker is a Rhode Island College faculty member. Funds are not permitted to be used for the cost of refreshments, receptions, or film and equipment rental.

Advertisement for Awarded Lectures

All lectures or workshops funded by the Committee on College Lectures must be free, open to the public, and conducted on the RIC campus (or online during the COVID-19 restrictions).  It is mandatory that your program be advertised with campus flyers or on RIC websites. Publicity about the event should acknowledge the support of College Lectures. Failure to advertise the lecture may negatively affect any future lecture application.

We also recommend that you send notification to the Office of College Communications and Marketing for inclusion in the “RIC News” email and to have the event added to the online college event listing web page. Time permitting, you might also advertise in The Anchor

In addition, we encourage you to attempt to find additional ways to reach out to the college community to create as large an audience as possible for the events that you are planning.

Procedure for Reimbursement

In order to receive funding for your speaker(s), submit the following documents all at one time to the CLC Chair by email:

  1. A signed W-9: of the presenter. This item may be omitted if there is already on file in the Accounting Office a W-9 for this speaker; in that case, please include a note to that effect.
  2. A Check Request form: Fill out the name and address of the speaker. Please also indicate the name of the contact person, their department, email address, and phone number on this form. Please leave blank the Department name, Account no., and all approval signatures (these are how payments are authorized through the College Lectures account).
  3. The College’s Travel Report Form or Automobile Travel form should be utilized for spending travel funds. All original receipts must be included and vehicle mileage must be reported. For lodging you may wish to contact the Accounting Office for their current list of approved hotels (this is not required). They have deals with several local hotels to provide special rates and do not charge taxes. Available at the accounting office.
  4. Evidence of publicity for the event. This might include a copy of the event flyer, a posting on the RIC announcements webpage or email, etc. Please submit something that demonstrates the event was scheduled/or occurred and was advertised to the campus community.

If you intend to deliver checks to speakers on the day they are presenting, please indicate so on the check request form and allow sufficient time for processing.

If your lecture event is canceled or if it ends up using fewer funds than had been awarded, please contact College Lectures so that we can allocate those funds to other lectures.
